THE ROLE
As Speaker & Media Fulfilment Manager at The Nest Campus during Climate Week New York, you will be the primary architect of an exceptional, end-to-end experience for our highest-profile speakers and media representatives. Operating at the intersection of sustainability, global thought leadership, and live events, you will build trusted relationships with key stakeholders, manage all logistical details from initial outreach through post-event follow-up, and serve as their dedicated point of contact on-site.
This is a high-visibility role that demands both strategic thinking and flawless execution. You will design and own a comprehensive fulfilment framework that reflects The Nest Campus's mission and the gravitas of Climate Week — ensuring every speaker and media guest feels valued, prepared, and empowered to do their best work.
WHAT YOU’LL DO:
Stakeholder Engagement & Relationship Management
Serve as the dedicated, single point of contact for all confirmed speakers and accredited media representatives from confirmation through post-event.
Conduct personalized onboarding calls to understand each stakeholder's needs, preferences, accessibility requirements, and communication style.
Build trust and rapport with a diverse range of guests — from grassroots activists and policy makers to C-suite executives and international journalists.
Respond promptly and professionally to all inquiries, ensuring no speaker or media guest feels uncertain or unsupported at any stage.
Logistical Coordination & Pre-Event Planning
Own the full speaker and media logistics pipeline: travel, accommodation, ground transport, accreditation, briefing materials, AV requirements, and dietary needs.
Liaise closely with the programming, production, and venue teams to align run-of-show timings, stage requirements, and media access zones.
Prepare and distribute clear, timely pre-event communications including personalized itineraries, site maps, briefing packs, and Climate Week orientation materials.
Coordinate green room setup, holding areas, and any speaker rehearsal or tech-check schedules.
Build and maintain detailed communication timelines for each speaker and media guest, mapping every touchpoint from confirmation through post-event follow-up.
Execute personalized mail merges to deliver timely, accurate, and on-brand communications at scale — including save-the-dates, briefing packs, itinerary updates, and thank-you notes.
Plan and host pre-event runway dinners in multiple cities to brief speakers, build community among participants, and generate momentum ahead of Climate Week NYC.
On-site Support & Guest Experience
Be the visible, calm presence on the ground for all speakers and media throughout the duration of Climate Week NYC at The Nest Campus.
Assist in managing a team of fulfillment assistants and volunteers, assigning responsibilities and ensuring seamless coverage across all event days.
Anticipate and proactively resolve issues — from schedule changes and technical glitches to last-minute speaker substitutions — with discretion and composure.
Facilitate speaker-media interactions, press interviews, and networking moments in a way that respects boundaries and maximises impact.
Fulfillment Brief Design & Process Ownership
Develop a comprehensive Speaker & Media Fulfillment Brief that codifies the desired guest experience, contact protocols, escalation pathways, and quality standards.
Collaborate cross-functionally to ensure the brief is operationalized consistently across all departments — from registration to content to sustainability.
Maintain a live tracker of all speaker and media commitments, preferences, and fulfillment status, updated in real time.
Conduct post-event debrief sessions and collect structured feedback to iterate and elevate the fulfilment model for future editions.
Climate Week Alignment & Brand Stewardship
Represent The Nest Campus's values of sustainability, inclusivity, and impact in every stakeholder interaction.
Brief speakers and media guests on The Nest Campus's sustainability commitments and event environmental standards.
Identify value-added touchpoints — such as curated networking introductions, impact storytelling moments, or climate action pledge opportunities — that deepen guest engagement with the event's mission.
WHAT YOU BRING
3–7 years of experience in speaker event management, speaker relations, talent management, or high-end hospitality, with a demonstrable track record handling high-profile individuals.
Bachelor's degree in Events Management, Hospitality, Communications, Business Administration, or a related field; a Master's degree or equivalent professional certification is advantageous.
Prior experience working within sustainability, climate, or purpose-driven events is strongly preferred.
Experience managing or mentoring small teams or volunteer cohorts.
Skills & Competencies
Exceptional interpersonal and communication skills — warm, professional, and adaptable across a wide range of stakeholder personalities and cultural backgrounds.
Outstanding organizational ability with a forensic attention to detail and a talent for managing multiple concurrent priorities without dropping the ball.
Sound judgment and calm under pressure; able to make clear, confident decisions in fast-moving situations.
Proficiency in event management tools, CRM platforms, and productivity suites.
Strong written communication skills for crafting briefing documents, itineraries, and stakeholder correspondence.
